Raken gives you three views to review and manage employee time cards across all your projects — Summary, Weekly grid, and Entries. Each view is designed for a different part of your payroll workflow, and together they give you complete visibility into your team's hours from any angle. Whether you're doing a quick pay period check or digging into individual entries, you have everything you need in one place.
Quick Answer
To access Time Cards views:
Log into the Raken web app and click Time in the left navigation.
Select Summary, Weekly grid, or Entries.
Use the date picker to select your pay period or time frame.
Use Filters to narrow results by employee, project, cost code, pay type, and more.
Summary View
Summary gives you a pay-period overview of every employee's total hours, broken down by pay type — Regular Time, Overtime, and Double Time. It also shows approval status, signature status, payroll notes, and attachments in one scannable table.
Best for: Pre-payroll review. Quickly see who has been approved, who has signed off, and who still needs attention before you export to payroll.
Key actions from Summary:
Approve time cards in bulk via Bulk actions > Approve all or Approve selected
Send sign-off reminders via Bulk actions > Send reminders
Download the Time card by worker PDF — includes hours, pay types, cost codes, and signatures
Download the Time card by worker CSV, Foundation Software CSV (for Foundation integration users), or Summary CSV
If a banner appears — "Employees have used multiple time policies in the week" — click Filter to see employees to identify who is affected before approving.
Weekly Grid View
Weekly grid shows each employee's hours day by day across the selected week. Every row is an employee; every column is a day. Missing hours stand out immediately.
Best for: Spotting gaps. If someone didn't log time on a specific day, it's immediately visible — no filtering required.
Key actions from Weekly Grid:
Click + on any row to add a time card directly for that employee
Toggle Show employees with no hours to surface employees with zero time logged

Entries View
Entries shows every individual time card entry across all employees and projects — the most detailed view available. The page loads fully collapsed by default, giving you a clean employee-level summary. Expand individual employees to see their line-by-line entries, or use the global expand control to see everything at once.
Best for: Line-by-line review. Use this when you need to inspect, edit, or audit individual time card entries before payroll closes.
Recent improvements to Entries:
Expand/collapse by employee — the page loads collapsed by default. Each employee row shows total hours for the period. Click the arrow next to any employee to expand their individual entries, or use the expand all control at the top of the table.
Resizable columns — drag any column border to adjust its width. Your column sizes are saved per user and persist when you return to the page.
Breaks column — shows the break logged for that entry, and flags Missing, Short, or Late break alerts inline with a warning icon and tooltip detail. See How to Create Breaks for Time Policies in Raken for how these alerts are configured.
Key actions from Entries:
Click the ellipsis (...) on any entry to edit, delete, or Move it
Move sends a time card to a different project. The time card's cost code must exist and be active on the destination project — see the FAQ below for what happens if it isn't.

Download Time card by worker CSV, Time card by worker PDF, or Foundation Software CSV (for Foundation integration users)
Approved time cards are locked from editing. Go to Summary > Bulk actions > Unapprove to unlock before making corrections.
Filtering Across All Views
Every view supports the same set of filters. Click Filters to narrow results by:
Project
Members
Employee groups
Employee classifications
Status (approved, unapproved)
Pay types
Shifts
Cost codes
Filters apply to both the on-screen view and any export you download. Click Apply to update, or Clear all to reset.
Exporting Time Card Data
Click the download icon in the top right corner of any view. Export formats available by view:

Weekly grid: CSV
Foundation Software CSV is visible to all accounts but is intended for customers using the Foundation integration.
Sort order: All Time card by worker exports now sort consistently — workers by Last Name → First Name, entries within each worker by Date → Start Time → End Time → Project → Cost Code. This applies to both PDF and CSV across all views and date ranges.
The Time card by worker PDF from Summary includes employee signatures — use this format for payroll compliance and audit documentation.
Troubleshooting & FAQ
Which view should I use for payroll review?
Start with Summary for a high-level check of total hours and approval status. Switch to Entries if you need to inspect or correct individual time card entries. Use Weekly grid to catch days where an employee forgot to log time.
The Entries page looks different — where did my entries go?
The Entries page now loads fully collapsed by default. Each employee appears as a summary row showing their total hours for the period. Click the arrow next to any employee name to expand their individual entries, or use the expand all control at the top of the table.
Can I resize the columns on the Entries page?
Yes. Drag any column border left or right to resize it. Your preferences are saved per user and persist when you come back to the page.
Why can't I edit a time card?
Approved time cards are locked. Go to Summary > Bulk actions > Unapprove all (or Unapprove selected) to unlock them. Only supervisors and Account Administrators can unapprove time cards.
Are the exports sorted consistently?
Yes. All Time card by worker PDF and CSV exports now use the same sort order regardless of which view or date range you download from: workers by Last Name → First Name, entries by Date → Start Time → End Time → Project → Cost Code.
Can Project Administrators see all time cards?
No. Project Administrators can only see time cards for employees on their assigned projects. Account Administrators have visibility across all projects.
What is the Foundation Software CSV?
The Foundation Software CSV is a formatted export designed for customers using the Foundation integration. It is visible in the export menu for all accounts but is only relevant if your company uses Foundation Software for payroll.
How do I move a time card to a different project?
On the Entries page, click the ellipsis (...) on the time card entry and select Move. Choose the destination project and confirm. This is separate from the Transfer Tool (which moves an entire day's daily report, including work logs, notes, and photos) — Move is specifically for relocating a single time card entry.
I used Move but the time card didn't go to the new project, even though I got a success message. What happened?
This happens when the time card's cost code does not exist or is not active on the destination project — most commonly with cost codes synced in from an accounting integration (e.g., Sage 300), where a similarly-named cost code on the destination project may not actually be the same underlying code. When this happens, the move does not complete, and there is currently no error message shown. Before using Move, confirm the cost code on the time card exists and is active on the destination project. We're working on adding a clear error message for this scenario so it's caught immediately.
What does the warning icon in the Breaks column mean?
It indicates a Missing, Short, or Late break alert for that entry. Hover over the icon to see the specific detail — for example, which break type is missing, how many minutes short a break was, or how late it started.
