Crews let supervisors group employees together so time cards can be created for the whole group at once — saving time and reducing errors at the end of a long shift. Once a crew is set up, the supervisor selects the crew, enters hours, and all crew members get a time card in one action.

To create a crew and use it for time tracking in Raken:
On the web: go to Company > Groups > + New group, name the crew, and add employees.
On mobile: tap Time > ellipsis (...) > Change crew > + to create a new crew on the spot.
When creating a time card, select the crew instead of an individual employee — all members are included automatically.
How to Set Up Crews on the Web
Crews are created and managed as Groups in the Raken web app. Groups created here are available to supervisors on mobile.
Step 1: Navigate to Groups
Log in to the Raken web app. Click Company in the left navigation menu. Click Groups.
Step 2: Create a New Group
Click + New group in the top right corner. Enter a name for the crew — for example, "Concrete Crew A" or "Night Shift Team."
Step 3: Add Employees to the Group
Click Employees in the left menu of the group. Select the employees you want to add to this crew. Click the orange Save button.
Tip: Employees can belong to multiple groups. You can update group membership at any time from the same page.
How to Create a Crew on Mobile
Supervisors can also create crews directly from the mobile app without going to the web first.
Step 1: Open the Time Tab
Tap Time in the bottom navigation bar.
Step 2: Open the Crew Selector
Tap the ellipsis (...) in the top right corner of the screen. Select Change crew.
Step 3: Create a New Crew
Tap the + button in the top right corner of the Select crew screen. Enter a Crew name and tap Next. Select the employees to add to the crew and tap Save.
The new crew is now active and available for time card creation.
How to Manage Your Crew on Mobile
Once a crew is selected, the crew name appears at the top of the Time tab. Use the four tabs to manage everything from one place.
Switching or Editing a Crew
Tap the ellipsis (...) in the top right corner of the Time tab. Select Change crew to switch to a different crew, or Edit crew to update the members of the current crew.
What Each Tab Shows
Clock — shows all crew members and their current clock status (clocked in, off the clock). Each member shows hours for the day. Tap the ellipsis (...) next to any employee to clock them in or out manually.
Entries — shows individual time card entries for each crew member, grouped by date. Tap any entry to review or edit the details.
Summary — shows total hours for the pay period per employee broken down by Regular Time, Overtime, and Double Time. Tap an employee's name to see their individual entry detail.
Review — shows items that need attention before time is approved: Clock in/out questions, Photo ID, Time card issues, Sign off, and Approvals.
Approving Crew Time
Tap the ellipsis (...) at the top of the screen and select Approve all to approve all time cards for the current pay period. You can also send reminders to employees who haven't signed off by selecting Send reminders.
How Crew Time Cards Work
When you create a time card for a crew, Raken creates one time card entry covering all crew members with the same hours, cost code, and break. This is the fastest way to enter time for a group working the same shift.
Important behaviors to know:
Group time cards are named after the supervisor who created them — not the first alphabetical employee.
If crew members worked different hours or cost codes, create the group time card first with the shared details, then edit individual entries using the ellipsis (...) > Edit on each employee's entry.
If a crew member is not assigned to the project, the app will prompt you to add them before saving.
Cost code displays as Default during crew time card creation by design — it does not auto-populate each employee's individual default cost code.
Troubleshooting & FAQ
I don't see any crews in the mobile app — why?
Crews must be created either in Company > Groups on the web, or directly in the mobile app via the ellipsis (...) > Change crew > + flow. If no crews exist, you'll be prompted to create one.
Can I add or remove employees from a crew on mobile?
Yes. Tap the ellipsis (...) > Edit crew to update the members of the currently selected crew. For larger crew management, use Company > Groups on the web.
Why is the time card named after me and not the first crew member?
This is the expected behavior as of the latest update. Group time cards are named after the person who created them — giving supervisors clear ownership of each entry in the review view.
Can an employee be in more than one crew?
Yes. Employees can belong to multiple groups and can be selected as part of any crew. Their time cards across crews and projects are all visible in the global Time tab.
What if crew members need different hours or cost codes?
Create the crew time card with the shared values first, then edit individual entries by tapping the ellipsis (...) next to each employee's entry and selecting Edit. Or use Bulk Edit if you need to update all members at once.
