How to Use Crews to Organize Time Cards in Raken

In this article, learn how to create and manage crews in Raken to organize time cards and track hours for groups of employees.

Crews let supervisors group employees together so time cards can be created for the whole group at once — saving time and reducing errors at the end of a long shift. Once a crew is set up, the supervisor selects the crew, enters hours, and all crew members get a time card in one action. The Time tab on mobile is designed for crew-based workflows. For individual time entry on mobile, use Project Tools > Daily Logs > Time Cards instead.


Quick Answer

To create a crew and use it for time tracking:

  1. On web: Company > Groups > + New group. Name the crew and add employees.

  2. On mobile: tap Time > ellipsis (...) > Change crew > + to create a crew on the spot.

  3. When creating a time card, select the crew — all members are included automatically.


How to Set Up Crews on the Web

Step 1: Navigate to Groups

Log in to the Raken web app. Click Company in the left navigation, then click Groups.

Step 2: Create a New Group

Click + New group. Enter a name for the crew — for example, "Concrete Crew A" or "Night Shift Team."

Step 3: Add Employees

Click Employees in the group left navigation. Select the employees to add. Click Save.

Employees can belong to multiple groups. You can update membership at any time.


How to Create a Crew on Mobile

Step 4: Open the Crew Selector

Tap Time in the bottom navigation. Tap the ellipsis (...) in the top right, then tap Change crew.

Step 5: Create a New Crew

Tap +. Enter a Crew name, tap Next, select employees, and tap Save.


How to Manage Your Crew on Mobile

Once a crew is selected, the crew name appears at the top of the Time tab. Tap ellipsis (...) > Change crew to switch crews, or Edit crew to update membership.

What each tab shows:

  • Clock — crew members with current clock status and daily hour totals; clock individuals in/out via the per-employee ellipsis (...)

  • Entries — individual time card entries grouped by date; tap any entry to review or edit

  • Summary — total hours per employee for the pay period, broken down by RT/OT/DT; navigate pay periods with the calendar icon

  • Review — items needing attention: Clock questions, Photo ID, Time card issues, Sign off, Approvals

To approve all time cards for the pay period, tap ellipsis (...) > Approve all.


How Crew Time Cards Work

When you create a time card for a crew, Raken creates one entry covering all crew members with the same hours, cost code, and break.

  • Group time cards are named after the supervisor who created them

  • For different hours or cost codes per member, create the crew entry first, then edit individual entries via ellipsis (...) > Edit

  • If a crew member isn't assigned to the project, the app prompts you to add them before saving

  • Cost code shows as Default during crew entry — it does not pull each employee's individual default


Troubleshooting & FAQ

I don't see any crews in the mobile app — why?

Crews must be created in Company > Groups on the web, or directly on mobile via ellipsis (...) > Change crew > +. If none exist, you'll be prompted to create one.

Can I add or remove employees from a crew on mobile?

Yes. Tap ellipsis (...) > Edit crew. For larger crew management, use Company > Groups on the web.

Why is the time card named after me and not the first crew member?

Group time cards are named after the person who created them — giving supervisors clear ownership of each entry in the review view.

Can an employee be in more than one crew?

Yes. Employees can belong to multiple groups and be selected for any crew.

What if crew members need different hours or cost codes?

Create the crew time card with shared values first, then edit individual entries via ellipsis (...) > Edit, or use Bulk Edit to update all members at once.

What if I need to enter time for an individual employee?

Use Project Tools > project > Daily Logs > Time Cards. Individual employee selection within the Time tab is coming in a future update.

Considerations

  • The Time tab on mobile is for crew-based entry. For individual time entry, use Project Tools > Daily Logs > Time Cards.

  • Crews are Groups in Raken — the terms are interchangeable.

  • Group time cards are named after the supervisor who created them.

  • Cost code shows as Default on crew entry — it does not pull each employee's individual default.

  • If a crew member isn't assigned to the project, the app will prompt you to add them before saving.
