How to Manage Crew Time in the Raken App

In this article, learn how to create, review, and approve crew time cards from the Raken mobile app.

The Time tab in the Raken mobile app gives supervisors everything they need to manage their crew's time from the field — create time entries, review hours, track clock status, and approve time cards, all without going back to the office. The Time tab is designed for crew-based workflows. If you need to enter time for an individual employee without a crew, use Project Tools > Daily Logs > Time Cards instead.


Quick Answer

To manage crew time from the Raken mobile app:

  1. Tap Time in the bottom navigation bar.

  2. Select your crew or select employees directly — Raken auto-creates a crew if needed.

  3. Use the four tabs — Clock, Entries, Summary, and Review.

  4. Tap + to create a new time entry, or tap any existing entry to edit it.

  5. Tap the ellipsis (...) at the top and select Approve all to approve time for the pay period.


Setting Up Your Crew

Step 1: Select or Create a Crew

Tap Time in the bottom navigation bar. Tap the ellipsis (...) in the top right and select Change crew. You'll see two tabs:

  • Crews tab — shows all existing crews organized into My Crews (crews you created) and All Crews (all account crews). Tap any crew to select it, or tap + to create a new named crew.

  • Employees tab — select individual employees directly. Raken automatically creates a dynamic crew named after the logged-in user. No pre-setup required — you can rename the crew later.

You no longer need a pre-configured crew to use the Time tab. Select employees directly from the Employees tab and Raken handles the crew creation automatically.


Creating Crew Time Entries

Step 2: Navigate to Entries

Tap the Entries tab. Entries are grouped by date — each card shows the employee's name, total hours, start/end times, project, and cost code.

Step 3: Create a New Time Entry

Tap + in the top right. Select the Project and Employee(s), then tap Next. Enter Start time and End time — tap the field to use the wheel picker. Add a Break and Cost code if applicable.

For advanced options — pay type, classification, shift, payroll note, or split — tap the ellipsis (...) at the top of the form.

Tap Save.

Select multiple employees to create one entry covering the whole crew at once — all members receive the same hours, cost code, and break. Edit individually after saving if details differ.

Step 4: Edit or Delete an Entry

Tap any entry card to view details. Tap the ellipsis (...) at the bottom right and select Edit or Delete.


Clocking Crew Members In and Out

Step 5: Navigate to Clock

Tap the Clock tab. All crew members appear with their current clock status and daily hour totals. You can also create time entries from this tab using the + button.

Two separate ellipsis menus:

Top-level (...) menu (top right corner) — crew and bulk actions: Change crew · Edit crew · Approve all · Send reminders

Individual employee (...) menu (next to each name) — per-employee punch actions: Clock in · Clock in at · Take break · Take break at · End break · End break at · Switch · Clock out · Clock out at

Step 6: Clock In or Out

Tap the ellipsis (...) next to any employee's name. Select the appropriate action — clock in/out immediately, or "at" a specific time for missed punches.


Reviewing Crew Time

Step 7: Navigate to Summary

Tap the Summary tab. Each crew member shows total hours for the current pay period with a pay type breakdown (e.g., Regular Time: 9h). Tap any employee to view their individual entries. Use the calendar icon to navigate between pay periods.

Step 8: Bulk Actions from Summary

Tap the ellipsis (...) at the top right for: Approve all · Send reminders · Change crew · Edit crew.


Reviewing Issues, Sign-Off, and Approvals

Step 9: Navigate to Review

Tap the Review tab. Five items appear — each shows a count of items needing action:

  • Clock in/out questions — responses submitted at clock events

  • Photo ID — verification flags

  • Time card issues — entries with errors or violations

  • Sign off — who has signed off (X of X signed)

  • Approvals — approval status for the pay period (X of X approved)

Tap any item to drill in and take action.


Technical Specifications

  • Compatibility: iOS 15+, Android 10+

  • Offline Capability: No — the Time tab requires an active connection. Use Daily Logs > Time Cards for offline entry.

  • Plan Required: All plans for core crew time management

  • Add-on Required: Time Clock add-on required for clocking in/out; Entries tab available on all plans

  • Role Required: Supervisors, Project Administrators, Account Administrators


Considerations

  • The Time tab is for crew-based workflows. For individual time entry on mobile, use Project Tools > Daily Logs > Time Cards.

  • You no longer need a pre-configured crew — selecting employees from the Employees tab under Change crew auto-creates a dynamic crew named after the logged-in user.

  • Crews are organized into My Crews (yours) and All Crews (everyone's) for easier navigation.

  • When all selected employees share a single pay policy, they are pre-selected automatically on the time entry employee picker.

  • Crew entries apply the same hours, cost code, and break to all members. Edit individually afterward if needed.

  • The top-level (...) handles crew/bulk actions. The individual employee (...) handles per-employee punch actions.

  • Advanced options (pay type, classification, shift, payroll note, split) are in the ellipsis (...) on the time entry form.
