How to Manage Crew Time in the Raken App

In this article, learn how to create, review, and approve crew time cards from the Raken mobile app.

The Time tab in the Raken mobile app gives supervisors everything they need to manage their crew's time from the field — create time entries, review hours, track clock status, and approve time cards, all without going back to the office. Time entries sync in real time to the web app and daily report.

To manage crew time from the Raken mobile app:

  1. Tap Time in the bottom navigation bar.

  2. Select your crew using the ellipsis (…) menu at the top of the screen.

  3. Use the four tabs to manage time — Clock, Entries, Summary, and Review.

  4. Tap + to create a new time entry, or tap any existing entry to edit it.

  5. Tap the ellipsis (…) at the top and select Approve all to approve time for the pay period.


Step-by-Step Instructions

Setting Up Your Crew

Before managing crew time, make sure a crew is selected. The crew name appears at the top of the Time tab screen.

Step 1: Select or Change Your Crew

Tap Time in the bottom navigation bar. If no crew is selected or you need to switch crews, tap the ellipsis (…) in the top right corner of the screen. Select Change crew to pick a different crew, or Edit crew to update the members of the current crew.

Crews are set up in the Raken web app. If you don't see a crew, contact your Account Administrator to have one created.


Creating Crew Time Entries

Step 2: Navigate to Entries

Tap the Entries tab at the top of the screen. Entries are grouped by date, with each card showing the employee's name, total hours, start time, end time, project name, and cost code.

Step 3: Create a New Time Entry

Tap the + button in the top right corner. A new time entry form opens — titled New time entry on mobile.

Select the Project and Employee(s). Tap Next. Enter the Start time and End time — tap directly on the time field to use the wheel picker. Add a Break if needed. Add a Cost code if applicable.

For advanced options — pay type, classification, shift, payroll note, or split — tap the ellipsis (…) menu at the top of the form.

Tap Save in the top right corner.

This is ideal for supervisors entering time for their entire crew at the end of a shift. Select multiple employees to create one entry covering all crew members at once — all members receive the same hours, cost code, and break unless edited individually after saving.

Step 4: Edit or Delete an Entry

Tap any entry card to view its details. Tap the ellipsis (…) menu at the bottom right of the entry card and select Edit to update hours, start/end times, cost code, or breaks. Select Delete (shown in red) to remove the entry.


Clocking Crew Members In and Out

Step 5: Navigate to Clock

Tap the Clock tab at the top of the screen. The Clock tab shows all crew members with their current clock status, daily hour totals, and an ellipsis menu per employee. It also supports time card creation directly — tap + to add a new time entry from this tab, the same as the Entries tab.

Understanding the two (…) menus on the Clock tab:

There are two separate ellipsis menus with different purposes:

Top-level (…) menu — tap the (…) in the top right corner of the screen to access bulk and crew-level actions:

  • Change crew — switch to a different crew

  • Edit crew — update the current crew's members

  • Approve all — approve all time cards for the current pay period

  • Send reminders — send sign-off reminders to crew members

Individual employee (…) menu — tap the (…) next to any employee's name to manage that specific employee's punch status:

  • Clock in — clock the employee in immediately

  • Clock in at — set a specific clock-in time

  • Take break / Take break at — start a break now or at a specific time

  • End break / End break at — end a break now or at a specific time

  • Switch — switch the employee to a different project while clocked in

  • Clock out / Clock out at — clock the employee out now or at a specific time

Step 6: Clock In a Crew Member

Tap the ellipsis (…) next to the employee's name. Select Clock in to clock them in immediately, or Clock in at to set a specific clock-in time.

Step 7: Clock Out a Crew Member

Tap the ellipsis (…) next to the employee's name. Select Clock out to clock them out immediately, or Clock out at to set a specific clock-out time.


Reviewing Crew Time

Step 8: Navigate to Summary

Tap the Summary tab. Each crew member appears with their total hours for the current pay period and a pay type breakdown — for example, Regular Time: 9h. Tap any employee's name to view their individual time entries for the period.

Use the calendar icon at the top to navigate between pay periods. Tap the + button to add a new time entry for the pay period.

Step 9: Use Bulk Actions from Summary

Tap the ellipsis (…) in the top right corner to access bulk actions for the entire pay period:

  • Approve all — approve all time cards for the current pay period

  • Send reminders — send sign-off reminders to crew members who haven't signed off

  • Change crew — switch to a different crew

  • Edit crew — update the current crew's members


Reviewing Issues, Sign-Off, and Approvals

Step 10: Navigate to Review

Tap the Review tab. Five items are available for review — each shows a count of items needing action:

  • Clock in/out questions — review responses employees submitted at clock-in or clock-out

  • Photo ID — review any Photo ID verification flags

  • Time card issues — review time entries with errors or violations (shows "X needs review")

  • Sign off — see which employees have signed off on their hours (shows "X of X signed")

  • Approvals — review approval status for the pay period (shows "X of X approved")

Tap any item to drill into the details and take action.


Technical Specifications

  • Compatibility: iOS 15+, Android 10+

  • Offline Capability: No — the Time tab requires an active connection. Use Daily Logs > Time Cards for offline time entry on mobile.

  • Data Format: Entries sync in real time to the web app and daily report

  • Plan Required: No plan restrictions for core crew time management

  • Add-on Required: Time Clock add-on required for clocking employees in and out. Time entry via the Entries tab is available on all plans.

  • Role Required: Supervisors, Project Administrators, and Account Administrators


Considerations

  • A crew must be selected to use the Time tab on mobile. If no crew exists, contact your Account Administrator to create one in the web app.

  • Creating a time entry for a crew applies the same hours, cost code, and break to all selected employees. Edit individually after saving if details differ.

  • The Clock tab shows daily hour totals for all employees — not just clock status. It also supports time card creation, the same as the Entries tab.

  • The top-level (…) menu handles crew and bulk actions (Change crew, Edit crew, Approve all, Send reminders). The individual employee (…) menu handles per-employee punch actions (Clock in, Clock out, Take break, etc.).

  • Advanced options — pay type, classification, shift, payroll note, and split — are in the ellipsis (…) menu on the time entry form.

  • The Time Clock add-on is required for clocking employees in and out. The Entries and Summary tabs are available on all plans.

  • The Time tab does not work offline — use Daily Logs > Time Cards for offline entry.
