How to Create Time Cards in Raken

Time Cards in Raken let supervisors and admins record hours for individual employees or entire crews — from the field or the office. Whether you're entering a simple 8-hour day, splitting time across multiple cost codes, or managing a crew of 20, Raken's time card tools keep payroll data accurate, organized, and ready to export.

To create a time card in Raken:

  1. Click or tap Time in the navigation menu, then click + Time card.

  2. Select a Crew (optional) or individual Employees.

  3. Enter Start time, End time, and Cost code.

  4. Add a Break if needed.

  5. Click or tap Save.

Time cards can also be created from a project's Daily Logs > Time Cards when entering time as part of a daily report workflow.


Step-by-Step Instructions

On the Web

Step 1: Navigate to the Time Tab

Log into the Raken web app. Click Time in the left side menu, then click Entries. This is the recommended path for creating and managing time cards across all your projects from one central place.

Alternatively, create from a project: Click Projects, select your project, click Daily Logs, then click Time Cards. Use this path when entering time as part of a specific project's daily report.

Step 2: Open the New Time Card Form

Click the orange + Time card button in the top right corner. The New time card form will appear with the following fields: Project, Crew (optional), Employee, Date, Start time, End time, Total, Add break, Cost code.

Step 3: Select a Project, Crew, and Employees

Select the Project. To create a time card for an entire crew at once, select a Crew from the Crew (optional) field — this creates one time card covering all crew members with the same hours and cost code. To create a time card for individual employees, leave Crew blank and select one or more Employees. Selecting a crew is the fastest way to enter time for a large group. If crew members worked different hours or cost codes, save the group entry first and edit individually after.

Step 4: Enter Date, Start Time, and End Time

The Date field pre-fills to today's date — change it if you're entering time for a different day. Enter the Start time and End time. The Total hours field calculates automatically.

Step 5: Add a Break (if needed)

Click Add break + to log a break. Enter the break duration or start and end time depending on your Time Policy settings.

Step 6: Select a Cost Code and Equipment

Select the Cost code for the work performed. If no specific cost code applies, leave it as Default. If equipment was used on this time entry, click Equipment to assign the relevant equipment.

Step 7: Add Advanced Options (if needed)

Click the ellipsis (…) menu next to the Cost code field to access advanced options:

  • Add pay type — manually override the default pay type

  • Add shift — associate the time card with a specific shift

  • Add classification — assign an employee classification

  • Add per diem — log a per diem entry alongside this time card

  • Add payroll note — add a note for payroll processing

These fields are hidden by default to keep the form clean. If any of these were set on a previously copied time card, they will appear automatically.

Step 8: Save

Click the orange Save button. The time card is created and will appear in Time > Entries and under the employee or crew in Daily Logs.


Editing a Single Employee's Time Card

Step 1: Open the Time Card

Navigate to Time > Entries. Find the time card entry and click directly on it to open it, or click the ellipsis (…) menu on the entry and select Edit.

Alternatively, navigate to Daily Logs > Time Cards within a project, then click the ellipsis (…) next to the employee's entry and select Edit.

Step 2: Update the Entry

Update hours, breaks, cost code, or any other field as needed.

Step 3: Save

Click Save. Only that employee's entry is updated — other crew members are not affected.


Bulk Editing a Crew Time Card

Step 1: Open the Crew Time Card

Navigate to Time > Entries. Click into the crew time card to open it.

Step 2: Bulk Edit

Click Bulk Edit. Make changes to hours, breaks, or cost code. These changes will apply to all crew members in the group.

Step 3: Save

Click Save.


Splitting a Time Card on the Web

Step 1: Open the Split Screen

Open or create a time card. Click the + Split button at the bottom left of the form. The Split hours modal opens.

Step 2: Configure the Split Entries

Each split entry shows: Start time, Cost code, and hours. Set the start time and cost code for Entry 1. Set the split time and cost code for Entry 2. Click + Add split to add more entries if needed.

Step 3: Set the End Time

The End time is a single shared field at the bottom of the modal — it applies across all entries.

Step 4: Save

Click the orange Save button. The split entries appear as separate line items on the time card.


On Mobile

Step 1: Navigate to the Time Tab

Open the Raken mobile app. Tap Time in the bottom navigation bar. This is the recommended path for creating time cards in the field.

Alternatively, create from a project: tap the project, tap Daily Logs, then tap Time Cards. Use this path when entering time as part of a specific project's daily report. Note: offline time card entry is only supported via this Daily Logs path — the Time tab requires an active connection.

Step 2: Create a New Time Card

Tap the + button in the top right corner. The new time entry form opens.

Step 3: Select a Project, Crew, and Employees

Select the Project. To enter time for an entire crew at once, select a Crew — this creates one time card covering all crew members with the same hours and cost code. To enter time for individual employees, leave Crew blank and select one or more employees. Save first, then edit individually if any crew members need different details.

Step 4: Enter Date, Start Time, and End Time

Select the Date. Tap directly on Start time or End time to set the hours. The Total hours field calculates automatically. The mobile form starts blank — no default times are pre-filled.

Step 5: Add a Break (if needed)

Tap Break time to add a break. Enter the break details based on your Time Policy settings.

Step 6: Select a Cost Code and Equipment

Tap Cost code and select the appropriate code. If no specific code applies, leave it as Default. If equipment was used, tap Equipment to assign it.

Step 7: Add Advanced Options (if needed)

Tap the ellipsis (…) menu at the top right of the form to access:

  • Split — allocate time across multiple cost codes

  • Pay type — manually override the default pay type

  • Classification — assign an employee classification

  • Shift — associate with a specific shift

  • Payroll note — add a payroll note

Step 8: Save

Tap the checkmark in the top right corner. The time card is saved and appears in the Time tab and under the employee or crew in Daily Logs.


Bulk Editing a Crew Time Card on Mobile

Step 1: Open the Crew Time Card

Tap Time in the bottom nav. Open the crew time card from Entries.

Step 2: Tap Bulk Edit

Tap Bulk edit next to the Employees list header.

Step 3: Update and Save

Make changes to hours, breaks, or cost code. Tap Save. Changes apply to all crew members. To update one member independently, tap the ellipsis (…) next to their name and select Edit.


Splitting a Time Card on Mobile

Step 1: Open the Split Screen

Open or create a time card. Tap the + Split button at the bottom of the form. The Split screen opens.

Step 2: Set the Start, Split Time, and End

Enter the Start time, the Split time (when the employee switched activities), and the End time. Select the Cost code for each portion.

Step 3: Save

Tap the checkmark to save. The split entries appear as separate line items.


Copying Time Cards from a Previous Day

Considerations

  • The Time tab (Time > Entries) is the recommended path for creating and managing time cards across all projects. Daily Logs > Time Cards is available for entering time as part of a specific project's daily report workflow.

  • Time Cards and Work Logs are in separate sections under Daily Logs. Time Cards = employee hours for payroll. Work Logs = activity, quantity, and subcontractor entries.

  • The project dashboard time card tile has been removed. Use Daily Logs > Time Cards or Time > Entries.

  • Crew entries use the same hours and cost code for all members. Edit individually after saving if crew members have different details.

  • Cost code and classification display as Default during crew time card creation — this is intentional. Edit individually after saving if specific values are needed.

  • Payroll notes, pay types, classifications, shifts, and splits are all accessible via the ellipsis (…) menu — not on the main form by default.

  • Overtime is calculated automatically server-side — no need to enter time in chronological order for OT to be correct.

  • Offline mode is supported via Daily Logs > Time Cards on mobile only. The Time tab on mobile and the web app require an active connection.

  • If your account was enabled mid-pay-period, you may see a mix of old and new format time cards. Both are valid and accurate.

  • No plan restrictions apply — this feature is available on all Raken plans.


Troubleshooting & FAQ

What happened to the time card tile on the project dashboard?

The tile has been removed. Time cards are now accessed from Daily Logs > Time Cards within a project, or from Time > Entries in the global Time tab. All the same functionality is available — it's just in a new location. Time > Entries is the recommended path for most workflows.

Should I use Work Logs or Time Cards to track hours?

It depends on what you're tracking. Work Logs are designed for logging manpower and progress by company — best for General Contractors tracking subcontractor headcount and activity on site. Time Cards are for individual employee hour tracking tied to payroll — they include pay type, classification, cost code, and overtime calculations. If you currently use Work Logs to track headcount and hours on a job, you can continue to do so. If you need payroll-ready records for individual employees, use Time Cards.

Why does the cost code show as "Default" on crew time cards?

When creating a time card for a crew, the cost code displays as Default rather than showing each employee's individual values. This is intentional — surfacing unique values for every crew member during creation would make the form unmanageable at scale. Edit individually after saving if specific cost codes are needed.

Where did pay types, classifications, and splits go?

They moved to the ellipsis (…) menu on the time card form to keep the main form clean. On web, find the (…) next to the cost code field. On mobile, find the (…) at the top right of the form.

Can I enter time cards offline?

Yes — on mobile via Daily Logs > Time Cards. Entries sync automatically when your connection is restored. The Time tab on mobile and the web app require an active connection.
