Crews let supervisors group employees together so time cards can be created for the whole group at once — saving time and reducing errors at the end of a long shift.
Quick Answer
To create a crew and use it for time tracking:
On web: Company > Groups > + New group. Name the crew and add employees.
On mobile: tap Time > ellipsis (...) > Change crew > Employees tab > select employees > Save. A dynamic crew is created automatically.
When creating a time card, select the crew — all members are included automatically.
How to Set Up Crews on the Web
Step 1: Navigate to Groups
Log in to the Raken web app. Click Company in the left navigation, then click Groups.
Step 2: Create a New Group
Click + New group. Enter a name for the crew — for example, "Concrete Crew A" or "Night Shift Team."
Step 3: Add Employees
Click Employees in the group left navigation. Select the employees to add. Click Save.
Employees can belong to multiple groups. You can update membership at any time.
How to Create a Crew on Mobile
Raken supports two ways to set up a crew on mobile — dynamic (ad-hoc) and named (predefined).
Option A: Dynamic Crew (Ad-hoc — no pre-setup needed)
Tap Time in the bottom navigation.
Tap the ellipsis (...) in the top right, then tap Change crew.
Tap the Employees tab.
Select the employees you want to include.
Tap Save.
Raken automatically creates a crew named after the logged-in user. No manual naming required — you can rename it later. This crew appears under My Crews.
Note: On mobile, employees must be selected individually — there is no bulk select option. If you need to set up a large crew, create the group on the web first (Company > Groups) and it will appear under All Crews on mobile.
Option B: Named Crew (predefined)
Tap Time in the bottom navigation.
Tap the ellipsis (...) in the top right, then tap Change crew.
Tap the Crews tab, then tap +.
Enter a Crew name, tap Next, select employees, and tap Save.
My Crews vs. All Crews
The Crews tab is organized into two sections:
My Crews — crews you created, including your dynamic crew
All Crews — all crews in the account, including those created by others
How to Manage Your Crew on Mobile
Once a crew is selected, tap ellipsis (...) > Change crew to switch crews, or Edit crew to update membership.
What each tab shows:
Clock — crew members with current clock status and daily hour totals
Entries — individual time card entries grouped by date
Summary — total hours per employee for the pay period, broken down by RT/OT/DT
Review — Clock questions, Photo ID, Time card issues, Sign off, Approvals
To approve all time cards for the pay period, tap ellipsis (...) > Approve all.
How Crew Time Cards Work
Group time cards are named after the supervisor who created them
For different hours or cost codes per member, create the crew entry first, then edit individually via ellipsis (...) > Edit
If a crew member isn't assigned to the project, the app prompts you to add them before saving
Cost code shows as Default during crew entry — it does not pull each employee's individual default

Do I need to create a crew before using the Time tab?
No. Tap Change crew > Employees tab, select your employees, and tap Save. Raken auto-creates a dynamic crew for you.
Can I add or remove employees from a crew on mobile?
Yes. Tap ellipsis (...) > Edit crew. For larger crew management, use Company > Groups on the web.
I have a large team — is there a faster way to add all employees to a crew on mobile?
On mobile, employees must be selected individually. For large teams, the fastest approach is to create the group on the web app first: go to Company > Groups > + New group, add all employees, and save. The group will then appear under All Crews on mobile and can be selected with one tap. You can also create an "All Employees" group on web to give supervisors a one-tap option.
Why is the time card named after me and not the first crew member?
Group time cards are named after the person who created them.
Can an employee be in more than one crew?
Yes. Employees can belong to multiple groups and be selected for any crew.
What if crew members need different hours or cost codes?

What if I need to enter time for an individual employee?
You can create an individual time card from either the Time tab (bottom nav) or from Project Tools > [Project] > Daily Logs > Time Cards on mobile.
