When your crew works different hours on the same day — different start/end times, different projects, or different cost codes — here's how to handle it in Raken's time card entry.
Quick Answer
Use crew entry to save time cards for your whole crew at once, then go into each employee's individual time card to edit their specific hours. You cannot set different hours per employee during the initial crew entry — that step requires individual edits after saving.
⚠️ Note: The ability to enter different hours per employee in a single crew entry step is on our product roadmap. This article reflects the current workflow.
Web — Crew Entry with Different Hours
Step 1: Create the crew entry
Go to Time in the left navigation.
Click + Time card.
Select all the employees in your crew.
Enter the Project and Date.
For hours, enter any value (you'll correct individual hours in the next step).
Click Save. This creates one time card per employee.
Step 2: Edit each employee's hours individually
Go to Time > Time Cards > Entries.
Find the first employee whose hours need to be corrected.
Click on their time card to open it.
Edit the hours to the correct values and click Save.
Repeat for each employee with different hours.
Tip: Use the search bar in the Entries view to filter by employee name and find entries quickly.

Repeat for each employee.
Crew Members on Different Projects the Same Day
If crew members worked on different projects on the same day, create a separate crew entry for each project — selecting only the employees who worked that project — rather than one large crew entry.
Frequently Asked Questions
Can I add one employee to an existing crew time card without affecting the others?
Not directly — the crew entry creates individual time cards per employee. To add a missed employee, create a new individual time card for them with the same project, date, and hours. This doesn't affect the other employees' existing time cards.
What if some crew members worked split hours across different cost codes?
After saving the initial crew entry, open each affected employee's time card individually and use the Split option to divide their hours across cost codes.
Is there a faster way to do this?
We hear you — this workflow requires more steps for crews with varied hours. We've shared this feedback with our product team and improvements are on the roadmap. In the meantime, the save-first-then-edit approach is the most reliable path.
