Equipment Reports in Raken

Raken's equipment reports give you a complete record of how your equipment is deployed and used across all your projects — from a snapshot of current fleet status to a detailed log of daily usage activity. Reports can be run on demand or scheduled for automatic delivery.

To run an equipment report in Raken:

  1. Log into the Raken web app and click Projects in the left navigation.

  2. Click the Reports button in the top right.

  3. Select Equipment snapshot or Equipment logs, configure your parameters, and click Send.


Report Types

Equipment Snapshot

The Equipment Snapshot gives you a point-in-time overview of your entire fleet across all projects. For each piece of equipment it shows:

  • Equipment name and Equipment ID

  • Equipment category, type, make, model, year, and serial number

  • Ownership and vendor name

  • Condition and deployment status (Deployed to, location, start date, days on site, end date)

  • Hours in use, hours idle, and total available hours

  • Utilization %

  • Mileage and fuel consumed

Use this report to audit your fleet, identify underutilized equipment, and track rental return dates.

Equipment Logs

The Equipment Logs report shows detailed daily usage activity across your projects. For each log entry it includes:

  • Date, project, and created by

  • Equipment name, ID, category, type, make, model, year, and serial number

  • Condition, deployment location, and operator

  • Cost code division, code, and description

  • Hours in use, hours idle, mileage, fuel consumed

  • Deficiency reported and fault codes

  • Description and attachments

Use this report for job costing, maintenance audits, and verifying that equipment logs are being completed daily.

Small Equipment Reports

Two reports cover small equipment. The Small equipment snapshot shows current deployment counts across projects (total units, units deployed, units available per item). The Small equipment history shows a full log of all deployment and withdrawal activity over a selected time range.


How to Run an Equipment Report

Step 1: Navigate to Reports

Log into the Raken web app. Click Projects in the left side navigation. Click the blue Reports button in the top right corner of the Projects page.

Step 2: Select the Report Type

From the reports dropdown, select the equipment report you want to run: Equipment snapshot, Equipment logs, Small equipment snapshot, or Small equipment history.

Step 3: Configure Report Parameters

Set your parameters:

  • Project scope — all projects, or select specific projects

  • Date range — for log-based reports, select the time period you want to cover

  • Recipients — enter the email addresses to receive the report

Step 4: Send or Schedule

Click Send to run the report immediately and deliver it to the specified recipients. To schedule the report for recurring automatic delivery, toggle Schedule and set your preferred frequency and delivery time before saving.


Troubleshooting & FAQ

The Equipment snapshot shows no data — why?

The snapshot only includes equipment that has been added under Company > Equipment > Heavy / on-road. If no equipment has been added, the report will be empty.

The Equipment logs report is missing entries — why?

Equipment log entries are created at the project level when supervisors log daily equipment usage under Production > Equipment. If your team hasn't been logging daily entries, they won't appear in the report. Check that equipment has been deployed to the project and that field supervisors are completing equipment logs.

Can I export equipment reports to Excel?

Equipment reports are delivered as CSV files, which can be opened directly in Excel or imported into other tools.

Considerations

  • Equipment must be actively logged by field teams for the Equipment logs report to contain meaningful data.
