With Raken Time Clock enabled you and your team have the ability to gain valuable insights into workforce locations during clock-ins and clock-outs, as well as track when your team is actively working. This added visibility helps reduce time theft, buddy punching, and timecard errors.
Time Clock Geofencing
Raken Time Clock geofencing allows you to see where your employees time entries are occurring and optionally alert employees to clock in/out based on location, limit employees from clock in/out when outside a specified location radius and alert management when an employee leaves a specified location radius.
Setting Up Employee Geofencing
Log into the Raken Web App.
Click the Company button on the menu on the left side of the page.
Click Time Settings in the menu that appears.
Select Policies from the sub menu that appears.
Click the Manage policies button in the top right corner of the page.
Click on the policy that you would like to enable geofencing rules for.
Select Settings from the menu on the left side of the page.
Enable the desired features found in the Geofencing section.
Off-site flagging - Flag employees who leave the project radius while on the clock
Location based reminders - Remind employees to interact with the time clock when they come or go from the job site
On site verification - Prevent employees from clocking in outside the project radius
Click the orange Save button in the top right corner of the page.
Once saved, all employees that are associated with the edited Time Policy will have the geofencing applied to their Raken applications.
Setting Up A Project Radius
For the Project Map, Time Card Violations report and Employee Geofencing to function and provide pertinent information a project must have a project radius set.
Log into the Raken Web App.
Click on the Projects tab that is found on the left side of your screen.
Select the project for which you would like to set a project radius.
Click the Settings menu on the left side of the page.
Click the option for General.
On the page that appears click the option found at the top of the page labeled Project Radius.
Use the slider to set the Project Radius.
A location/street address must be set for the project to enable a project radius. This can be done on the general info screen.
Click the Save button found at the top right corner of the page.
Viewing the Project Map
The project map allows you to see on a map where your employees time activities are occurring. Those events that occur outside of the set project radius will be set in red.
Log into the Raken Web App.
Click on the Projects tab that is found on the left side of your screen
Select the project for which you would like to view the project map.
Click the Production menu on the left side of the page.
Click the option labeled Map.
On the page that appears you will see the location for time activities.
In the top left corner of the map you can adjust the view based off of the date of the time activity.
In the top left corner you can also filter the map view for the below criteria.
Time clock status
Event types
Employees
Event origin
Violations
No GPS
On the right side of the page you will see a list of all employees with information displayed on the map view.
Generating a Time Card Violations Report
The time card violations report produces a list of those time activities that occurred for specified project, employees and date range.
Log into the Raken Web App.
Click on the Projects tab that is found on the left side of your screen.
Click on the blue Reports button found near the top right corner of the page.
Select the Time card violations option from the drop down that appears.
Specify the project that should be included in the report.
Specify the employees that should be included in the report.
Specify the timeframe.
Specify the email address where the report should be sent.
Click the orange Send button.
If you would like to schedule a time card violation report you will repeat steps 2 & 3 however you will create a new report in the Scheduled section rather than the Run once section.
