Raken's integration with Viewpoint Vista automatically syncs your Projects, Employees, Cost Codes, and Classifications between Vista and Raken every 30 minutes — so your field team always works with accurate data, and your payroll team can push completed time cards back to Vista with a click.
Quick Answer
The Vista integration is CS-managed via the Trimble AppXchange platform. To get started:
Contact your Customer Success Manager or email help@rakenapp.com to request access.
Your Raken integration specialist will confirm eligibility and schedule an intro call.
Vista integration requires the Performance Plan.
How It Works
The integration is built on the Trimble AppXchange platform, which connects Raken to Vista via a connector agent installed alongside your Vista instance. Once live, the following data syncs from Vista to Raken every 30 minutes:
JC Job Master — synced as Raken Projects
JC Job Phases — synced as Raken Cost Codes
PR Employees — synced as Raken Workers
PR Craft & PR Class (concatenated) — synced as Raken Classifications
PR Earnings Codes — synced as Raken Pay Types
When it's time to process payroll, you export completed time cards from Raken Timesheets. Synced time cards appear as a new PR Time Card Batch Entry in Vista — ready for your payroll team to review and post.
Data Mapping
The table below shows how data maps between Viewpoint Vista and Raken, and in which direction.
Viewpoint Vista | Raken | Direction |
JC Job Master | Projects | Vista → Raken |
JC Job Phases | Cost Codes | Vista → Raken |
PR Employees | Workers | Vista → Raken |
PR Craft & PR Class (concat) | Classifications | Vista → Raken |
PR Earnings Codes | Pay Types | Vista → Raken |
Time Cards | PR Time Card Batch Entry | Raken → Vista (on-demand) |
What to Expect During Onboarding
Your Raken integration specialist manages the full onboarding process. Here's what to expect:
Request & intro call — Your specialist confirms eligibility, walks through the integration data mapping using the Vista intro deck, and agrees on next steps.
AppXchange workspace setup — Your specialist creates your AppXchange workspace and sends you an activation email.
Connector agent install — Your IT administrator installs the AppXchange Connector Agent on the server running Vista and creates a Vista service user with database access. Your specialist provides installation instructions and is available to assist during a Zoom call.
Data cleanup — Before connecting, your Raken data is aligned with Vista records. Job Numbers in Raken must match the Vista format exactly (e.g.,
1234- 1/1with spaces for leading zeros). Employee IDs must match Vista employee records. Your specialist guides you through this step.Connection & initial sync — Your specialist connects Raken to the AppXchange cache and activates the data flows: Classifications → Employees → Projects & Cost Codes → Pay Types → Time Cards.
Data review — You review the synced data together and clean up any duplicates or mismatched records.
Time card sync test — You run a test export with one or two workers to confirm time cards are posting correctly in Vista.
Go live — Your team starts using the integration for their regular payroll process.
How to Sync Time Cards to Vista
Log into the Raken web app and click Time in the left side navigation.
Click Time cards, then click Timesheets.
Select the pay period you want to export.
Select all or specific time cards, then click Sync.
Synced time cards appear as a new PR Time Card Batch Entry in Vista for your payroll team to review and post.
Troubleshooting & FAQ
What Vista hosting options are supported?
Both Viewpoint Cloud-hosted and on-premises Vista instances are supported.
How are Classifications handled in Vista?
Vista does not have a single "Classification" field. Raken concatenates each employee's PR Craft and PR Class values into a single combined value that maps to the Raken Classification field. Your specialist will confirm this mapping during onboarding.
Why do I need to clean up my Job Numbers before connecting?
The integration matches Raken Projects to Vista Jobs using the Job Number field. If your Raken Project Numbers don't match the Vista format exactly, the integration will create duplicate Projects instead of linking existing ones. Your specialist will review this with you before connecting.
What happens to my existing cost codes and budgets in Raken?
Existing cost codes and budgets on projects in Raken will be replaced when Job Numbers are adjusted and the integration syncs new Cost Codes from Vista. If you want to retain existing cost code and budget data, discuss this with your specialist before the data cleanup step.

Considerations
Requires the Performance Plan and an active Viewpoint Vista instance (Cloud or on-premises).
Raken Job Numbers must match the Vista job number format before connecting — your specialist will guide you through this.
IT access is required to install the AppXchange Connector Agent alongside your Vista instance.
Classifications are derived from the concatenation of PR Craft and PR Class — not a direct field-to-field sync.
Existing cost codes and budgets in Raken may be replaced during onboarding — discuss with your specialist if retention is needed.
