How to Use Checklists in Raken

Checklists in Raken let your field team complete digital safety and quality inspections directly from the jobsite — and give your office team real-time visibility into compliance across all your projects. Whether you're using Raken's built-in template library or your own custom templates, checklists are the fastest way to document that safety standards are being met every day.

  1. Open your project and navigate to Safety & QC > Checklists.

  2. Tap or click the checklist you want to complete, or create a new one using the + button.

  3. Select a template, complete the checklist items, and save.


How to Use Checklists on the Web

Step 1: Navigate to Checklists

Log into the Raken web app. Click Projects in the left side navigation and select your project. In the project left side menu, click Safety & QC, then click Checklists.

Step 2: Start a Checklist

Click the orange + Checklist button in the top right corner. A panel opens where you select a template. You can choose from your company's custom templates or from the Raken library tab which includes dozens of pre-built safety and quality templates.

Step 3: Complete the Checklist

Work through each checklist item. For each item you can mark it as Pass, Fail, or N/A. Add notes or attach photos to any item that needs more context. Items marked Fail can have corrective actions added directly to them.

Step 4: Save or Submit

Click Save as draft to save your progress and return later, or click Submit to finalize the checklist. Submitted checklists are locked and generate a PDF report automatically.

Step 5: View Completed Checklists

Use the Scheduled, In Progress, and Completed tabs at the top of the Checklists page to filter by status. Click any checklist to open its full record or download the PDF report.


How to Use Checklists on Mobile

Step 1: Navigate to Checklists

Open the Raken mobile app and tap Project Tools. Select your project. Tap Safety & QC, then tap Checklists. The Checklists screen shows three tabs: Scheduled, In Progress, and Completed.

Step 2: Start a Checklist

Tap the orange + button in the bottom right corner. Select a checklist template — toggle between your company templates and the Raken library to browse available options. Tap the template name to open it.

Step 3: Complete the Checklist

Work through each item. Tap to mark items as Pass, Fail, or N/A. Tap any item to add a note or attach a photo. Failed items can have corrective actions noted.

Step 4: Save or Submit

Tap Save as draft to continue later, or tap Submit to finalize. Submitted checklists are immediately available in the web app for review.


How to Schedule a Checklist

Checklists can be scheduled in advance so they appear automatically for the right employee on the right date. Scheduling is done from the web app at the company level (to apply across all projects) or at the project level.

To schedule a checklist on the web, navigate to Projects > [Project] > Safety & QC > Checklists, click + Checklist, select a template, and choose a Schedule date and assignee before saving.


Troubleshooting & FAQ

I don't see any templates — why?

Make sure you're looking at both tabs when selecting a template: your company's custom templates and the Raken library. If no custom templates exist yet, only the Raken library will show. An Account Admin can create custom templates under Company > Checklists.

Can I complete a checklist offline?

Yes. Checklist data entered on mobile while offline is saved locally and syncs automatically when connectivity is restored.

Where do completed checklists go?

Completed checklists are stored under the Completed tab within the project's Checklists section. They're also visible in Safety & QC Insights and available in the Checklists report from the project Reports dropdown.

Can I require a checklist to be completed before signing the daily report?

Checklist completion requirements are managed in project settings. Contact your Account Admin to configure compliance requirements for your project.

Considerations

  • Checklist data feeds directly into the Safety Insights dashboard — consistent use improves the quality of your compliance reporting.
