Raken Time Clock Geolocation Verification and Reporting

In this article, learn how to set up geofencing rules, view the project map, and run time card violations reports in Raken.

Raken Time Clock Geolocation gives you visibility into where your employees are clocking in and out relative to the jobsite. With geofencing enabled, you can flag off-site clock events, remind employees to clock in when they arrive, or prevent clocking in from outside a set project radius — giving supervisors and administrators accurate, location-verified time data.

Quick Answer

To set up geolocation features in Raken:

  1. Set a Project Radius in the project's Settings > General.

  2. Enable geofencing rules in your Time Policy: Company > Time > Policies > Edit policy > Settings > Geofencing.

  3. Toggle on the rules you want and click Save & finish.

To review violations: Time > Review > Issues.

Requires the Time Clock add-on.

Setting Up Geolocation

Step 1: Set a Project Radius

A project radius must be set before geofencing rules, the Project Map, and the Violations report can provide accurate data.

Log into the Raken web app. Click Projects in the left navigation. Select the project. Click Settings > General. Click Project Radius and use the slider to set the radius. Click Save.

A street address must be saved for the project before a radius can be set. Add it in General settings first if needed.

Step 2: Enable Geofencing in the Time Policy

Click Company in the left navigation, then click Time > Policies. Click Edit policy. In Settings, scroll to the Geofencing section. Enable the rules you want:

  • Off-site flagging — flags employees who leave the project radius while clocked in

  • Location-based reminders — reminds employees to clock in or out when arriving at or leaving the jobsite

  • On-site verification — prevents employees from clocking in when outside the project radius

Multiple rules can be enabled simultaneously.

Step 3: Save

Click Save & finish.

Employees must have location access set to Always for the Raken app. Update in device settings: Privacy & Security > Location Services (iOS) or App permissions > Location (Android).

Viewing the Project Map

Step 4: Open the Project Map

Click Projects in the left navigation. Select the project. Click Production > Map.

Step 5: Filter the Map View

Use the date picker to select the date range. Filter by time clock status, event type, employees, event origin, violations, or no GPS. Events outside the project radius appear in red.

Reviewing Time Card Issues

Step 6: Navigate to Issues

Click Time in the left navigation, then click Review > Issues. The page shows time entries with flagged violations — columns include Date, Employee, Project, Cost code, Start time, End time, and Total hours. Red warning triangle icons identify entries with violations.

Running a Violations Report

Step 7: Run the Violations Report

Click Projects in the left navigation. Click Reports near the top right. Select Time card violations. Configure project, employees, time frame, and recipient email. Click Send.

Step 8: Schedule a Recurring Report (Optional)

Click New report in the Scheduled section. Set parameters and click Schedule report.

Troubleshooting & FAQ

Why isn't geofencing working for an employee?

Confirm the employee has location access set to Always for the Raken app on their device — not just "While using the app."

Do I need a project radius set for geofencing to work?

Yes. A project radius must be set in Project Settings > General before geofencing rules, the Project Map, and the Violations report can flag or display location data accurately.

What's the difference between off-site flagging and on-site verification?

Off-site flagging records a violation when an employee leaves the project radius while clocked in — the clock event is still allowed. On-site verification prevents an employee from clocking in at all if they're outside the radius.

Can I see GPS data for all time card types?

GPS coordinates are captured for Time Clock and Kiosk events only. Supervisor-entered time cards do not include GPS data.

Does geofencing apply to Kiosk users?

Yes. Geofencing rules apply to Kiosk clock events. The Kiosk device must have location access enabled.

Technical Specifications

  • Compatibility: iOS 15+, Android 10+ for location tracking; web app for map and reporting

  • Offline Capability: No — GPS tracking and geofencing require an active connection

  • Plan Required: All plans (Time Clock add-on required)

  • Add-on Required: Time Clock add-on — contact your account manager to enable

  • Role Required: Account Administrator to configure; all roles can view Issues based on project access

Considerations

  • The Time Clock add-on is required. Contact your account manager to enable it.

  • A project radius must be set in Project Settings before geofencing and reporting will be accurate.

  • Employees must have location access set to Always on their device.

  • GPS is captured for Time Clock and Kiosk events only — not supervisor entries.

  • Off-site flagging allows the clock event but records a violation. On-site verification blocks the clock event entirely.
