Raken Time Clock Geolocation Verification and Reporting

Raken Time Clock Geolocation gives you visibility into where your employees are clocking in and out relative to the jobsite. With geofencing enabled, you can flag off-site clock events, remind employees to clock in when they arrive, or prevent clocking in from outside a set project radius — giving supervisors and administrators accurate, location-verified time data.

To set up geolocation features in Raken:

  1. Set a Project Radius in the project's Settings > General page.

  2. Enable geofencing rules in your Time Policy: Company > Time > Policies > Edit policy > Settings > Geofencing.

  3. Toggle on the rules you want — off-site flagging, location reminders, or on-site verification.

  4. Click Save & finish.

To review time card violations, go to Time > Review > Issues on the web app.

Geolocation features require the Time Clock add-on.


Step-by-Step Instructions

Setting Up Geolocation

Step 1: Set a Project Radius

A project radius must be set before geofencing rules, the Project Map, and the Time Card Violations report can provide accurate data.

Log into the Raken web app. Click Projects in the left side menu. Select the project you want to configure. Click Settings in the project left side menu, then click General. Click Project Radius at the top of the page. Use the slider to set the radius for the project.

A street address must be saved for the project before a project radius can be set. If no address is saved, add it in the General settings first.

Click the orange Save button.

Step 2: Enable Geofencing in the Time Policy

Click Company in the left side menu. Click Time, then click Policies. Click Edit policy on the relevant policy. In the Settings section, scroll to the Geofencing section. Enable the rules you want:

  • Off-site flagging — flags employees who leave the project radius while clocked in

  • Location-based reminders — reminds employees to clock in or out when they arrive at or leave the jobsite

  • On-site verification — prevents employees from clocking in when they are outside the project radius

Multiple geofencing rules can be enabled simultaneously within the same policy.

Step 3: Save

Click the orange Save & finish button. All employees assigned to this policy will have the geofencing rules applied to their Raken app.

For geolocation to function, employees must always allow location access for the Raken app on their device. This setting can be found in the device's Settings app under Privacy & Security > Location Services (iOS) or App permissions > Location (Android).


Viewing the Project Map

The Project Map shows a visual overview of where time clock events are occurring relative to the project boundary.

Step 4: Open the Project Map

Click Projects in the left side menu. Select the project. Click Production in the project left side menu, then click Map.

Step 5: Filter the Map View

Use the date picker in the top left corner to select the date of the time activity you want to review. Use the filter options to narrow the map by:

  • Time clock status

  • Event types

  • Employees

  • Event origin

  • Violations

  • No GPS

Events that occurred outside the set project radius appear in red.


Reviewing Time Card Issues

Time card issues — including geolocation violations — are visible from the Time > Review > Issues page.

Step 6: Navigate to Issues

Click Time in the left side menu. Click Review, then click Issues. The page shows time card entries that have flagged violations. Columns include: Date, Employee, Project, Cost code, Start time, End time, and Total hours. Red warning triangle icons identify entries with violations. Click any entry to see additional context about the violation.


Running a Time Card Violations Report

For a detailed report of all violations across a project, use the Time Card Violations report.

Step 7: Run the Violations Report

Click Projects in the left side menu. Click the blue Reports button near the top right of the page. Select Time card violations from the dropdown. Configure the report:

  • Project — select the project to include

  • Employees — select specific employees or leave blank for all

  • Time frame — specify the date range

  • Email — enter the recipient email address

Click the orange Send button to run the report once.

Step 8: Schedule a Recurring Violations Report

To schedule the report on a recurring basis, click New report in the Scheduled section. Set your parameters and click Schedule report.


Troubleshooting & FAQ

Why isn't geofencing working for an employee?

Confirm the employee has location access enabled for the Raken app on their device. Location access must be set to Always for geofencing to function correctly — not just "While using the app." Check this in the device Settings app.

Do I need a project radius set for geofencing to work?

Yes. A project radius must be set in Project Settings > General before geofencing rules, the Project Map, and the Violations report can flag or display location data accurately.

What is the difference between off-site flagging and on-site verification?

Off-site flagging records a violation when an employee leaves the project radius while clocked in — the clock event is still allowed. On-site verification is more restrictive — it prevents an employee from clocking in at all if they are outside the project radius.

Can I see GPS data for all time card types?

GPS coordinates are captured for Time Clock and Kiosk clock events only. Supervisor-entered time cards do not include GPS data.

Does geofencing affect Kiosk users?

Yes. Geofencing rules apply to Kiosk clock events as well as individual Time Clock events. The Kiosk device must have location access enabled for geofencing to function.

  • Employees must have location access set to Always on their device for geofencing to function correctly.

  • GPS coordinates are captured for Time Clock and Kiosk events only — supervisor entries do not include GPS data.

  • Off-site flagging records a violation but allows the clock event. On-site verification blocks the clock event entirely if the employee is outside the project radius.

  • No plan restrictions apply to the Time Clock add-on — it is available on all Raken plans.
