How to Review and Report on Per Diem in Raken

Once per diem entries have been submitted, Raken gives payroll admins and supervisors a centralized view to review, filter, correct, and export all per diem data before it reaches payroll. Every entry is tied to a specific employee, project, and date — making reconciliation fast and fully auditable.

To review per diem entries in Raken:

  1. Log into the Raken web app.

  2. Click Time in the left side menu.

  3. Click Review, then click Per Diem.

  4. Use the date picker and Filters to find specific records.

  5. Click the ellipsis (...) menu on any entry to edit or delete it.

  6. Click Download to export per diem data for payroll.

Per diem indicators in the Time Summary flag employees with entries during the pay period so nothing slips through your pre-payroll review.


Step-by-Step Instructions

On the Web

Step 1: Navigate to Per Diem

Log into the Raken web app. Click Time in the left side menu, then click Review, then click Per Diem. All per diem entries across your organization are displayed here — this is your single source of truth before payroll is finalized. Columns include: Employee, Date, Project, Type, Classification, Description, Attachments, and Amount.

Step 2: Set the Date Range

Use the date picker at the top of the page to select the pay period or date range you want to review.

Step 3: Filter Entries

Click the Filters button to narrow results. Filter by any combination of:

  • Employee / Members

  • Project

  • Group

Results update automatically based on your selected filters.

Step 4: Edit an Entry

Click the ellipsis (...) menu on the right side of any entry and select Edit. Update the Type, Amount, Description, or Attachments as needed. Click the orange Save button. Editing a per diem entry does not affect any associated time card data.

Step 5: Delete an Entry

Click the ellipsis (...) menu on the right side of the entry and select Delete. Confirm the deletion. Deleting a per diem entry does not affect any associated time card data.

Step 6: Export Per Diem Data

Click the Download button in the top right corner of the Per Diem page. Apply any filters first to scope the export to the right employees, projects, or date range before downloading. Exports include: Employee, Project, Date, Type, and Description.


Reviewing Per Diem from the Time Summary

The Time Summary flags employees who have per diem entries during the current pay period — so you can catch missing or unexpected entries as part of your regular time review.

Step 1: Open Time Summary

Click Time in the left side menu, then click Time Cards, then click Summary.

Step 2: Identify Per Diem Indicators

Look for the per diem indicator next to employee names. This signals that the employee has at least one per diem entry during the selected pay period.

Step 3: Navigate to Per Diem Entries

Click the indicator to navigate directly to that employee's entries under Review > Per Diem.


On Mobile

Per diem review on mobile is best suited for supervisors checking their crew's entries in the field. Full reporting and export is available on the web app.

Step 1: Navigate to Per Diem

Log into the Raken mobile app. Tap Time in the bottom navigation bar, then tap Review, then tap Per Diem.

Step 2: Review and Edit Entries

View per diem entries for your assigned projects and employees. Tap any entry to view its details. Tap Edit to make corrections, then tap Save.


Troubleshooting & FAQ

Where is the best place to review per diem before processing payroll?

The Time > Review > Per Diem page on the web app is the recommended place for payroll review. It shows all entries across all projects in one place and supports filtering and export. The Time Summary also flags employees with per diem entries so nothing slips through your regular review.

What does the per diem export include?

Exports include: Employee name, Project, Date, Per Diem Type, and Description. Export data is used by your payroll or accounting team to apply the applicable rates — dollar amounts recorded in Raken are visible in the export.

Can I see per diem entries alongside time cards?

The Time Summary view shows a per diem indicator next to employees who have entries during the pay period, so you can review both time and per diem together before finalizing payroll.

Does per diem sync automatically to my accounting software?

The current release supports CSV export for downstream payroll use. Direct integration sync for per diem data is planned for a future update.

Who can review and export per diem data?

Account Administrators can review and export per diem data across all projects. Project Administrators can review entries for their assigned projects only.

  • This feature requires the Performance Plan. Contact your account manager to upgrade.

  • Full review and export is available on the web app. Mobile supports viewing and editing individual entries only.

  • Editing or deleting a per diem entry does not modify associated time card data.

  • Per diem indicators in Time Summary help identify employees with entries during the pay period — use this as part of your standard pre-payroll review workflow.

  • No plan restrictions apply to viewing per diem entries assigned to you — bulk management and export require the Performance Plan.
