How to Create and Manage Project Templates in Raken

Learn how to create, edit, and apply project templates in Raken to standardize daily report settings, survey questions, email recipients, and watermarks across your projects.

Project Templates let you define a standard configuration for your daily reports, survey questions, email recipients, and more — then apply that configuration to any project in your account. Set up a template once and roll it out to new or existing projects in seconds.


Quick Answer

To create or edit a project template:

  1. Go to Company > Project settings > Project templates

  2. Click + Project template to create a new one, or click the ellipsis (…) on an existing template and select Edit

  3. Configure each section, click Save, then apply to projects using ellipsis (…) > Apply to projects


How to Access Project Templates

Log into the Raken web app. Click Company in the left side navigation. Click Project settings to expand it, then click Project templates.


How to Create a New Template

Click the green + Project template button in the top right corner. Enter a Template name. Toggle on Make this my default template if you want this template to apply automatically to all new projects. Click Save, then continue configuring the remaining sections.


How to Edit an Existing Template

Click the ellipsis (…) to the right of any template name and select Edit. Work through each section in the left navigation and make your changes. Click Save after updating each section.


Template Sections

Info

Set the Template name and toggle whether this is your Default template. The default template (marked with a ★) is automatically applied when a new project is created.

General

Configure project-wide display and reporting settings:

  • Date display — choose Month/Day/Year or Day/Month/Year

  • Required report frequency — set how often daily reports are required (e.g., Daily/Weekly) and which days

  • Project radius — set a default geofencing radius for projects using this template

  • Weather capture times — set up to three times per day for automatic weather data capture, and choose your preferred units (°F/°C, MPH/KPH, in/mm)

  • Report display language — set the language for daily report display

Daily Report

Select which sections appear on the daily report PDF. Options are organized by category:

  • Daily logs: Weather, Work log hours, Work log quantity, Work log descriptions, Total hours to date, General notes, Daily survey, Photo date/time stamps, Entry date/time stamps, Hide empty sections

  • Safety and quality: Site safety notes, Quality control notes, Toolbox talks, Completed checklists

  • Production: Time cards, Material quantity, Production, Equipment

  • Collaborator's reports: Hide inactive collaborators, Hide empty collaborator reports, Hide superdaily grand totals

Survey Questions

Add, remove, and reorder the survey questions that appear on the daily report. Use the My company tab to set questions for your own team's reports, and the Subcontractors tab to set questions for collaborator reports. Drag rows to reorder. Click + to add a new question — select a category and type your question text.

Note: Survey question changes applied to existing projects take effect on the following day, not immediately.

Email Recipients

Set who automatically receives the completed daily report by email:

  • When to send — choose Send as soon as it's signed or Send at a specific time each day

  • Internal recipients — people within your company who receive the full daily report including Time Cards and Super Daily

  • External recipients — owners, executives, or other external contacts who receive a high-level report. You can choose to include Time Cards, Super Daily Index, Material quantity, and Equipment for external recipients

Watermark

Enable watermarks on mobile photos and configure what information appears on each watermarked image:

  • Include company logo

  • Include company name

  • Include project name

  • Include timestamp

  • Include GPS coordinates

  • Include auto-generated location

  • Watermark alignment — choose where the watermark appears on the photo (e.g., Bottom Left)


How to Apply a Template to Existing Projects

Saving a template does not automatically update existing projects — it only affects new projects created with that template going forward. To push changes to existing projects:

  1. Go to Company > Project settings > Project templates

  2. Click the ellipsis (…) next to the template and select Apply to projects

  3. Select the projects you want to update

  4. Click Apply

Note: Survey question changes take effect on the following day for the applied projects. All other settings apply immediately.


Troubleshooting & FAQ

Can I have more than one project template?

Yes — you can create as many templates as you need. Only one can be set as the default, which applies automatically when new projects are created.

What does the default template (★) do?

The default template is automatically applied when a new project is created. You can still select a different template at the time of project creation if needed.

Can I copy an existing template?

Yes — click the ellipsis (…) next to a template and select Duplicate to create a copy you can then edit.

Will changes to a template automatically update existing projects?

No — changes to a template only apply to new projects going forward. To update existing projects, use ellipsis (…) > Apply to projects and select the projects you want to update.

When do survey question changes take effect after applying to projects?

Survey question changes take effect on the following day for applied projects — not immediately.

Considerations

  • Templates only affect new projects automatically — use Apply to projects to update existing ones.
