Syncing Time Cards with the Raken + QuickBooks Online Integration

Learn how to sync time cards from Raken to QuickBooks Online, what data is included in each sync, and where to find synced time in QuickBooks Online.

Once your Raken + QuickBooks Online integration is set up, syncing time cards to QuickBooks Online takes just a few clicks. Time syncs with pay type and cost code data included — giving your payroll and accounting teams everything they need without manual entry.


Quick Answer

To sync time to QuickBooks Online: go to Time > Time cards > Timesheets, select your pay period and employees, and click Sync to QuickBooks.


How to Sync Time Cards to QuickBooks Online

  1. Log into the Raken web app and click Time in the left side navigation.

  2. Click Time cards, then click Timesheets.

  3. Use the pay period selector to navigate to the period you want to sync.

  4. Select the employees or individual time cards you want to sync. Use Sync selected for specific records or Sync all for the full pay period.

  5. Click Sync to QuickBooks. Raken sends the time card data to QuickBooks Online as Time Activities.

Tip: Always review time cards for accuracy before syncing. Once synced, changes in Raken do not automatically update QuickBooks Online.


Where Synced Time Appears in QuickBooks Online

Synced time appears under Project Time Activity within each project in QuickBooks Online — not under the Time > Time Entries tab. This is how Intuit handles time records that are associated with a project. To view time across all projects, run a time report from within QuickBooks Online.


What Data Syncs with Each Time Card

When the pay type and cost code sync is enabled on your account, each time card syncs to QuickBooks Online with:

  • Employee name

  • Project (mapped to QBO Customer/Project)

  • Pay Type (mapped to QBO Payroll Item)

  • Cost Code (mapped to QBO Service Item)

  • Duration (total hours)

Note: When pay type and cost code sync is enabled, time syncs as duration only. Detailed start time, end time, and break time do not sync as dedicated fields in this mode. If your account does not have pay type and cost code sync enabled, start and end times will sync instead. Contact your CS team if you have questions about your sync configuration.


Troubleshooting & FAQ

Why is my time not appearing under Time > Time Entries in QuickBooks Online?

This is expected. Time synced from Raken to a QuickBooks Online project always appears under Project Time Activity within that project — not under the Time Entries tab. This is Intuit's design for project-associated time records.

Time cards are not syncing — the Sync button is not appearing.

Check if the integration is set to Paused. If paused, contact your CS team to set it to Active. If the integration shows as Active and the Sync button is still missing, file a support ticket.

I synced a time card but the data in QuickBooks Online looks wrong. Can I fix it?

Correct the time card in Raken first, then re-sync. Contact your CS team if you need help resolving a sync discrepancy or if data needs to be cleaned up on the QuickBooks Online side.

Can I sync time for the same period more than once?

Yes — you can re-sync time cards. Re-syncing will update the existing Time Activity records in QuickBooks Online for the affected employees. Contact your CS team before re-syncing a large batch to confirm the approach.


Considerations

  • Time syncs as duration only when pay type and cost code sync is enabled. Start/end times and breaks do not sync as dedicated fields in this mode.

  • Synced time appears under Project Time Activity in QuickBooks Online — not under Time > Time Entries.

  • Always review time cards before syncing. Changes made in Raken after syncing do not automatically update in QuickBooks Online.

  • The integration must be set to Active (not Paused) for syncs to process.
