Raken Certifications

In this article, learn how to create, assign, and track employee certifications and expiration dates in Raken.

Raken Certifications let you track employee certifications and their expiration dates in one central place — so you always know who is certified for what, and who is coming up for renewal. Certifications are managed at the company level and can be assigned to individual employees.


Quick Answer

To create and assign a certification in Raken:

  1. Log into the Raken web app and click Company > Certifications.

  2. Create a certification type under the Types tab, then create a certification under the Certifications tab.

  3. Go to the employee's profile and assign the certification with an expiration date.

Certifications require the Performance Plan.


Step 1: Create a Certification Type

Log into the Raken web app. Click Company in the left side navigation, then click Certifications.

Click the Types tab, then click + New Type. Enter the type name (e.g., "OSHA 10", "First Aid / CPR", "Forklift Operator") and an optional description. Click Save.


Step 2: Create a Certification

Click the Certifications tab, then click + New Certification. Select the certification type you just created and give the certification a name. Click Save.


Step 3: Assign to Employees

Individual Assignment

Click Directory in the left side navigation and open the employee's profile. Click Certifications in the left side of the profile. Click + Certification. Select the certification, enter the expiration date and a description, and attach any supporting documents. Click Save.

Bulk Assignment

From Company > Certifications, click the certification name, then click the Employees tab. Click Assign in the top right corner. Select all employees you want to assign. Click Continue, enter the expiration date for each employee, and click Save.


Certification Statuses

Each employee's certification record shows a status badge:

  • Active — certification is valid and not yet expired

  • Expiring soon — certification is approaching its expiration date

  • Expired — certification has passed its expiration date


Certification Reports

To run a certification report, click Projects in the left navigation, then click the Reports button. Select Certifications from the dropdown. Choose your project scope, certification type, time frame, and recipient email. Click Send. The report can also be scheduled for automatic delivery.


Troubleshooting & FAQ

Can workers and team members both have certifications?

Yes. Certifications can be assigned to both team members (those with Raken logins) and workers (those without logins).

Who can manage certifications?

All users can view certifications. Creating certification types and assigning certifications to employees requires the Account Administrator role.

Can I attach documents to a certification?

Yes. When assigning a certification to an individual employee, you can attach supporting files — such as training certificates or licenses — directly to the certification record.

  • Role Required: Account Administrator to create and assign; all users to view


Considerations

  • Certifications require the Performance Plan. Contact your account manager to upgrade.

  • Set expiration dates accurately — the certification status indicators depend on the expiration date to flag upcoming renewals.
