How to Run Employee Time Card Reports in Raken

Raken makes it easy to export accurate time card data for payroll, compliance, and project reporting. You can download reports directly from the Time tab for any pay period or time frame, or schedule automated time card reports to be sent to your inbox on a recurring basis.

Downloading Time Card Reports from the Time Tab

Step 1: Navigate to Time Cards

Log into the Raken web app. Click Time in the left side menu. Click Time cards to expand the sub-menu and select the view you want to download from.

Step 2: Set the Date Range

Use the date picker at the top of the page to select the time frame for your report. You can choose Daily, Weekly, Monthly, or Pay period.

Step 3: Apply Filters

Click the Filters button to narrow the report to specific employees, projects, groups, classifications, pay types, shifts, or cost codes. Click Apply to update the view. The download will reflect your active filters.

This is particularly useful when running reports for a specific project, crew, or cost code before exporting to your payroll system.

Step 4: Download the Report

Click the download icon in the top right corner. Select your preferred format based on the view:

Summary view:

  • Time card by worker CSV — all employee hours for the period in spreadsheet format

  • Time card by worker PDF — formatted report including hours, pay types, cost codes, and signatures — ideal for payroll compliance documentation

  • Foundation Software CSV — formatted for direct import into Foundation accounting software

  • Summary CSV — condensed summary totals per employee

Entries view:

  • Time card by worker CSV

  • Time card by worker PDF

  • Foundation Software CSV

Grid view:

  • CSV — weekly hour totals per employee in grid format

The Time card by worker PDF from the Summary view includes signatures, making it the recommended format for compliance and audit purposes.


Scheduling a Time Card Report by Email

You can schedule automated time card reports to be delivered to any email address on a recurring basis directly from the Projects menu.

Step 5: Navigate to Project Reports

Click Projects in the left side menu. Click the blue Reports button near the top right of the page. Select Time card by worker from the dropdown.

Step 6: Configure the Report

In the window that appears, configure the report parameters:

  • Projects — select the project(s) to include

  • Employees — select specific employees or leave blank for all

  • Time frame — specify the date range

  • Email recipients — enter the email address(es) to receive the report

Step 7: Send or Schedule

To run the report once, click Send. To set up a recurring schedule, click New report in the Scheduled section, adjust your parameters, and click Schedule report. The report will be delivered automatically on your chosen schedule.

Scheduled reports are useful for payroll administrators who need time card data delivered to their inbox at the end of every pay period without logging in to download manually.

Can I filter a report to a specific project or employee before downloading?

Yes. Use the Filters button in any Time cards view to narrow results before clicking the download icon. The exported file will reflect only the filtered data.

Can I schedule a time card report to be sent automatically?
