How to Use Forms on the Web
Step 1: Navigate to Forms
Log into the Raken web app. Click Projects in the left side navigation and select your project. In the project left side menu, click Forms.
Step 2: Add a Form
Click the orange + Form button in the top right corner. Two options appear:
Select form template — choose from company-level templates your admin has created and made available across all projects
Upload — upload a new PDF directly to this project
Step 3: Complete and Annotate
Once opened, the form displays in Raken's built-in document viewer. Use the annotation tools to fill in fields, add text, draw, highlight, or mark up the form. If you uploaded a fillable PDF, you can type directly into the form fields.
Step 4: Save
Click Save in the top right corner when complete. The form is stored in the project's Forms section.
Step 5: Manage a Form
Click the ellipsis (…) menu to the right of any saved form to access management options:
Edit — reopen and update the annotation
Download — save the completed form as a PDF to your device
Share — email the completed form to a recipient directly from Raken
Rename — update the form name
Duplicate — create a copy of the form for reuse
Delete — permanently remove the form from the project
How to Use Forms on Mobile
Step 1: Navigate to Forms
Open the Raken mobile app and tap Project Tools. Select your project. Tap Forms in the project tools grid.
Step 2: Add a Form
Tap the + button in the bottom right corner. Options appear:
Create new — start a form from a company template or upload a new one
Upload — upload a file from your device
Select form template — choose a pre-loaded company template
Step 3: Complete and Annotate
Tap the form to open it in the mobile document viewer. Use the annotation tools to add text, draw, highlight, or complete form fields. Tap any field to begin typing or drawing.
Step 4: Save and Share
Tap Save in the top right corner. The form syncs to the web app immediately. Tap the ellipsis (…) menu next to any saved form to share, export, rename, or delete it.
Managing Company-Level Form Templates
Account Administrators can create and manage form templates that are available across all projects. To access company-level templates, log into the Raken web app and navigate to Company > Forms.
From here you can upload PDF templates, view all forms completed across your entire account in the All Forms sub-section, and manage templates using the same ellipsis menu options (Edit, Download, Rename, Delete).

What file types can I upload as a form?
Raken Forms supports PDF files. For the best field experience, use a fillable PDF — this allows your team to type directly into form fields rather than annotating over a static document.
Can I prefill a form template before sending it to the field?
Yes. Open the template from Company > Forms, annotate or prefill it, save it, and it will be available to your field team in the project Forms section.
Can I share a completed form with someone outside of Raken?
Yes. Use the Share option from the ellipsis menu to email the completed PDF directly from Raken to any email address.
Is Forms available on all plans?
Forms requires the Performance Plan. Contact your account manager to upgrade.
