How to Use Document Storage in Raken

In this article, learn how to upload, organize, and access project documents in Raken from both the web app and mobile app.

Important project documents should be accessible to your field and office teams at all times. Raken's Document Storage lets you upload, organize, and annotate project files in one central place — so the right information is always on hand when it's needed.

To upload a document:

  1. Log into the Raken Web App and select your project.

  2. Click Documents in the left side menu.

  3. Click the orange Document + button.

  4. Select Upload document and choose the file from your device.

  5. The document is now available to everyone with access to that project.


How to Use Document Storage on the Web

Step 1: Navigate to Documents

Log into the Raken Web App. Click Projects in the left side navigation bar and select the project where you want to store documents. Click Documents in the left side project menu.

Step 2: Upload a Document or Create a Folder

Click the orange Document + button. Select your action:

  • Upload document — Opens your device's file explorer. Select the file(s) you want to upload. A folder is not required for individual documents. Documents can be up to 250 MB in size.

  • New folder — Creates and names a folder to organize your documents.

Step 3: Access and Annotate Documents

Once uploaded, documents can be previewed, annotated, and renamed by anyone with access to the project. Use the annotation tool to mark up PDFs and image files (plans, drawings, photos) directly in Raken. Annotated files can be saved back to Document Storage.

Note: .xlsx and .xls files cannot be edited or annotated in Raken. You can preview and rename them, but cell values cannot be changed within the platform. To edit an Excel file, download it, make your changes in Excel, and re-upload it to the project.


How to Use Document Storage on the Mobile App

Step 1: Navigate to Documents

Open the Raken mobile app and tap into your project. Tap the Documents icon in the project menu.

Step 2: Add Documents or Folders

Tap the orange + button to see your options:

  • Take photo — Capture and upload a photo directly to Documents.

  • Select photo — Upload a photo from your device's library.

  • Select file — Upload a file or document from your device.

  • New folder — Create a folder to organize your uploads.

Step 3: View Documents

Tap any document or photo to view it in full size.


Troubleshooting and FAQ

What file types are supported?

Raken supports common file types including PDF, images (JPG, PNG, HEIC), CAD files (.DXF, .DWG), geospatial files (.KML, .KMZ), and spreadsheets (.XLS, .XLSX). Files can be stored, previewed, and downloaded. CAD, geospatial, and spreadsheet files do not support annotation in Raken.

What is the maximum file size?

Individual documents can be up to 250 MB.

Can I edit documents directly in Raken?

It depends on the file type. Raken's annotation tool lets you mark up PDFs and image files (such as plans and drawings) directly in the web app. Annotated files can be saved back to Document Storage. Excel files (.xlsx, .xls) cannot be edited or annotated in Raken — you can preview and rename them, but to edit the content you need to download the file, make your changes in Excel, and re-upload it to the project.

How do I update an Excel file I've already uploaded?

Download the file from Raken, edit it in Excel on your device, then re-upload the updated version to the project. You can rename or delete the old version once the new one is uploaded.

  • Excel files (.xlsx, .xls) cannot be edited in Raken. Download, edit in Excel, and re-upload to update them.
