How to Use Toolbox Talks in Raken

Toolbox Talks in Raken let you deliver digital safety meetings to your crew and build a documented attendance record for every talk — straight from the jobsite. Schedule upcoming talks from the web, then start and complete them from the mobile app with crew sign-offs and attendance tracking built in.


Quick Answer

Toolbox Talks work across both platforms — but each does something different:

  • Web app: Schedule talks, upload custom topics, and track upcoming, missed, and completed talks.

  • Mobile app: Start talks, record attendance, collect crew signatures, and complete the talk.

Completing and signing off on a Toolbox Talk requires the mobile app. Toolbox Talks require the Performance Plan.


How to Use Toolbox Talks on the Web

Step 1: Navigate to Toolbox Talks

Log into the Raken web app. Click Projects in the left side navigation and select your project. In the project left side menu, click Safety & QC, then click Toolbox talks.

Step 2: Schedule a Talk

Click + Upload talk to add a custom topic if it doesn't already exist in your library. To schedule a talk, select a topic and choose a future date and time. Scheduled talks appear in the Upcoming tab and are visible to crew members on mobile.

Step 3: Track Talk Status

Use the Upcoming, Missed, and Completed tabs to monitor the status of all talks on your project. Missed talks indicate a scheduled talk that was not completed on its due date. Completed talks include attendance records and signatures collected from mobile.

Note: Talks can only be started, completed, and signed off on from the mobile app. The web app is used for scheduling and tracking only.


How to Use Toolbox Talks on Mobile

Step 1: Navigate to Toolbox Talks

Open the Raken mobile app and tap Project Tools. Select your project. Tap Safety & QC, then tap Toolbox talks. The screen shows three tabs: Upcoming, Missed, and Completed.

Step 2: Start or Schedule a Talk

Tap the + button. A menu appears with two options: Start talk (begins immediately) and Schedule talks (set a future date and time). Tap your preferred option.

Step 3: Select a Topic

Browse or search the Toolbox talks topic library. The library includes both topics your company has presented before and Raken's full built-in library covering hundreds of safety topics in English and Spanish. Tap a topic to select it.

Step 4: Record Attendance

Select the employees who attended. Each attendee can add their digital signature directly on the device.

Step 5: Save

Tap Save to record the completed talk. It moves to the Completed tab and syncs to the web app immediately.


About the Toolbox Talks Library

Raken includes a large library of pre-built Toolbox Talk topics covering construction safety, equipment operation, fall protection, personal protective equipment, weather hazards, OSHA compliance, and more. Many topics are also available in Spanish. Topics in the library are curated and updated by Raken — you don't need to write or import any content to get started.

To access the full library when starting a talk, search by keyword or scroll through all available topics. The library tab shows Raken's built-in content; talks you've previously presented appear at the top for easy repeat use.


Troubleshooting & FAQ

Can I start a Toolbox Talk from the web app?

No. Starting, completing, and signing off on a Toolbox Talk must be done from the mobile app. The web app is used to schedule talks in advance and track completion status.

Can workers sign off from their own phone?

Yes. When a Toolbox Talk is started in the mobile app, workers can tap to add their digital signature on the supervisor's device or on their own device if they have project access.

What happens to missed talks?

Talks that were scheduled but not completed on their due date appear in the Missed tab. They remain on record as missed for compliance reporting purposes.

Can I schedule recurring toolbox talks?

Yes. When scheduling a talk, you can set it to repeat — daily, weekly, or on a custom schedule — so it appears automatically for your crew without requiring manual scheduling each time.

Where do I find toolbox talk reports?

Toolbox talk reports are available from the project Reports dropdown. Options include Toolbox talks (full record), Toolbox talks attendance, and Toolbox talks compliance.
