What Are RFIs?

A Request for Information (RFI) is a formal document used in construction to clarify questions about project plans, specifications, contracts, or field conditions. When something is unclear or needs interpretation — from a drawing discrepancy to an ambiguous spec — an RFI is how the question gets asked, tracked, and answered on record.

RFIs play a critical role in keeping projects on schedule and budget. Without a clear system, they get buried in email threads, responses get lost, and the project stalls waiting for answers. Raken's RFI tool gives your team a dedicated, structured workflow for managing RFIs from creation to close — accessible from the field or the office.


What You Can Do with RFIs in Raken

Create RFIs from Web or Mobile

Build a complete RFI directly from the field or office. Add a title, due date, question, cost code, and potential impact flags (cost, schedule, or plan). Attach photos, marked-up drawings, or documents. Assign an RFI Manager, Assignees, and CC recipients — including external contacts who don't have a Raken account.

Share and Notify Automatically

Raken sends automatic notifications to all assignees and CC'd contacts when an RFI is created or updated. No manual email required — everyone who needs to know is notified in real time, and automated reminders keep responses moving toward the due date.

Collect Responses via Guest Mode

External partners — architects, engineers, owners — don't need a Raken account to respond. They receive an email with a secure link that lets them view the full RFI, all attachments, and the complete history, and submit a response with their own attachments. Raken captures every interaction in a full audit trail.

Track and Filter Across Projects

See all open, pending, and closed RFIs at a glance from the project-level RFI list or the company-level RFI dashboard. Filter by status, assignee, due date, and impact type. Color-coded statuses and overdue flags help you stay ahead of blockers before they become delays.

Export and Report

Download a PDF or CSV report of your project's RFIs — showing each RFI's number, title, assignees, due date, response count, and status, plus a summary of open, closed, and overdue counts. Reports can be emailed directly from Raken.

Raken RFIs integrate with Bluebeam Studio Sessions for real-time PDF collaboration. Create a linked Bluebeam Session directly from an RFI to enable simultaneous markup and review. Finalized markups are automatically returned to the Raken RFI as new attachments — no manual file management needed. Requires a Bluebeam Core or Complete license.

Considerations

  • RFIs require the Performance Plan.

  • Trial accounts include up to 10 RFIs and 5 guest users per RFI to evaluate the feature.

  • External recipients (architects, engineers, owners) can respond to RFIs via guest mode without a Raken account.

  • The Bluebeam integration requires the Performance Plan and an active Bluebeam Core or Complete license.
