How to Manage Resource Scheduling on the Raken Mobile App

Resource Scheduling in the Raken mobile app gives supervisors and project managers the power to coordinate labor and equipment from anywhere. By moving scheduling to the field, you ensure that your team always has the most up-to-date information regarding their assignments, project locations, and shift expectations.

  1. Open the Raken mobile app and tap Schedule in the bottom menu.

  2. Tap the orange + button.

  3. Enter the Title, Project, Date, and Times.

  4. Assign Cost Codes and Employees.

  6. Tap Save.


Step-by-Step Instructions

On Mobile

Step 1: Navigate to Schedule Log into the Raken mobile app. Tap the Schedule button located in the navigation bar at the bottom of the screen.

Step 2: Open the New Shift Form Tap the orange + button in the bottom right corner of the screen to start a new resource entry.

Step 3: Define Shift Details Fill in the following specific information for the shift:

  • Title: Name the shift (e.g., "Concrete Pour" or "Site Cleanup").

  • Project: Select the project where the work is occurring.

  • Start Date & Times: Define exactly when the work begins and ends.

  • Repeat: Choose if this shift occurs once, Weekly, or Monthly.

Step 4: Assign Work and Staff

  • Cost Codes: Select one or multiple cost codes to track the type of work being performed.

  • Employees: Select the individual workers or crews needed for this shift.

Step 5: Set Notifications and Context

  • Notifications: Toggle this on to alert employees via email or SMS when the shift is saved.

  • Description: Provide specific goals, safety notes, or responsibilities for the team.

Step 6: Save Tap Save in the top right corner.

Important: Automated shift notifications (via email or SMS) will only be sent if the worker's Raken profile includes a current email address or phone number.


Managing and Viewing Schedules

Editing Existing Shifts

  1. From the Schedule tab, tap the specific Shift you wish to modify.

  2. Adjust any details (Time, Staff, Project, etc.).

  3. Tap Save.

  4. Choose Apply Logic: If the shift is part of a series, select This and following events or All events to determine how the change propagates.

  5. To Delete Shifts: Swipe your finger to the left over the shift you would like to delete and click the red trash can icon that is revealed.

Adjusting Your View

You can customize how you see your schedule using the tools by clicking the ellipsis (...) menu at the at the top right corner of the screen:

  • Filters: Filter the view by specific Employees, Projects, or Cost Codes to find exactly what you're looking for.

  • Day View: Swipe through each day of the week as a separate, detailed screen.

  • List View: Scroll through a continuous vertical list where each day is a row showing its assigned shifts.


Troubleshooting & FAQ

Why didn't my team get a notification about their new shift? Notifications require a valid email or phone number in the employee's profile. Check the Company > Employees section in the web app to ensure their contact info is updated.

Can I change a recurring shift for just one day? Yes. When you edit a repeating shift and hit save, Raken will ask if you want to apply changes to just that event, all future events, or every event in the series.

Can I see schedules for the whole company or just my projects? This depends on your permissions. Admins can typically see all schedules, while Supervisors may be limited to the projects they are assigned to. Use the Filters tool to narrow your view.

How will workers see their schedule? A text message will be sent to them with their scheduled shift information.

Considerations

  • Data Integrity: Ensure cost codes are set up in the web app before attempting to assign them on mobile. Note: Only Company Level Cost Codes will show up when selecting cost codes in the scheduling feature.

  • Syncing: Shifts created on mobile will appear instantly on the Web Resource Scheduling calendar for office staff.

  • Repeating Limits: Use the "Repeat" function for steady rotations to save time on data entry.
