Checklist templates are the backbone of your safety and quality inspection program in Raken. Once you build a template, your field team can use it on any project — and your office team can schedule it, track compliance, and review results in reports and Insights dashboards. This article covers how to create and manage your own custom templates.

Log into the Raken web app and click Company in the left side navigation.
Click Checklists, then click + New template.

How to Create a Custom Checklist Template on the Web
Step 1: Navigate to Checklist Templates
Log into the Raken web app. Click Company in the left side navigation, then click Checklists. This is your company-level template library.
Step 2: Create a New Template
Click the orange + New template button. Enter a Template name and select a Type — Safety or Quality. The type determines which Insights dashboard the completed checklist data feeds into.
Step 3: Add Sections
Organize your template into sections — for example, "Pre-task", "PPE", "Equipment Check". Click + Add section to create each section and give it a name.
Step 4: Add Checklist Items
Within each section, click + Add item. Enter the item text — for example, "Hard hats worn by all workers". Each item can be answered as Pass, Fail, or N/A when the checklist is completed in the field.
Step 5: Configure Item Settings (Optional)
For each item, you can configure additional options including marking it as Required (must be answered before submission) and adding a default Note prompt to guide the field user on what detail to capture.
Step 6: Save the Template
Click Save when complete. The template is immediately available for use on any project and will appear in the company templates tab when your field team selects a checklist.
How to Manage Existing Templates
Editing a Template
From Company > Checklists, click the template name to open it, make your changes, and click Save. Edits apply to future checklist completions only — previously completed checklists are not affected.
Duplicating a Template
Click the ellipsis (…) menu on any template and select Duplicate. This is useful when you want to create a variation of an existing template without rebuilding from scratch.
Deactivating a Template
Click the ellipsis (…) menu on any template and select Deactivate. Deactivated templates no longer appear when field users select a checklist to start. Existing completed checklists using that template are not affected.
Using Raken's Built-In Template Library
In addition to your custom templates, Raken provides a library of pre-built templates covering common construction safety and quality scenarios — including Activity Risk Assessment, Fall Protection, Crane and Rigging Inspection, Construction Quality Control, Excavation Safety, and more. These templates are available on all plans and do not require the Performance Plan to use.
Troubleshooting & FAQ
I don't see the option to create templates — why?
Custom checklist templates require the Performance Plan. If you're on a Basic plan, you can still use templates from the Raken library. Contact your account manager to upgrade.
Can I import checklist templates from another system?
Raken doesn't support direct import from third-party systems. You'll need to rebuild templates manually. If you have existing Raken custom templates, see the Migrating Custom Checklist Templates article.
Can I make some items required and others optional?
Yes. Each item can be marked as required individually. Required items must be answered before the checklist can be submitted.
Can project-level admins create templates, or only account admins?
Checklist template management is a company-level function accessible to Account Administrators only.
