The Raken web app is the perfect tool for setting up and managing schedules for your organization. Once created a schedule is visible to all those in your organization, which ensures all employees are on the same page at all times.
Create a Schedule
Log into the Raken web app.
Click the Schedule button located on the left side menu bar.
Click the orange + Shift button found in the top right corner of the page.
A pop up will appear where you can enter and select the desired shift specific information.
Title - The name of the shift that will be visible to employees in the office and the field.
Description - A description of the activities, goals or responsibilities that will occur during the duration of the shift.
Project - The project for which the shift is assigned.
Start date - The specific day that the shift will begin.
Start and End Time - The start and end times define the period of time that the shift will occur.
Repeat - Defines the interval at which the shift will repeat. You have options of Does not repeat, Weekly and Monthly.
Cost codes - Provides a list of cost codes within the organization. A single or multiple cost codes can be selected to be performed during the shift.
Employees - Provides a list of employees in your organization. Individual or multiple employees can be selected for the shift.
Click the orange Save button to save and begin the shift.
Managing and Viewing Existing Schedules
Managing Existing Schedules
Once a shift is created you can manage it from the Schedule page. The steps to make changes to an existing shift mirror those for creating a new shift.
Log into the Raken web app.
Click the Schedule button located on the left side menu bar.
Click the Shift that you would like to manage.
A pop will appear that shows all existing shift details. Click and adjust any of the details shown to change the shift and its details.
Click the orange Save button to confirm changes.
Confirm how the changes will be applied. Options include This event, This and following events and All events.
Click the orange Save button to confirm selection.
Viewing Existing Schedules
Once shifts are created you can view your organizations multiple shift with multiple layouts, filters and organization tools.
Schedule Organization - You can choose to organize existing schedules with one of three options.
Employees - Each employee is listed on the left side of the page. The shifts they are assigned appear to the right of their name.
Project - Each project is listed on the left side of the page. The shifts that are assigned to the project are listed to the right of the project name.
Cost codes - Each cost code is listed on the left side of the page. The shifts that are associated with that cost code appears to the right of their name.
Filters - You can filter to view specific Employees, Employee groups or Classifications.
Schedule View - You can adjust the presentation of the schedules.
Week - Each day of the week is its own separate column. Within each column you will see the shifts that occur that day.
List - Each day of the week is its own separate row. Within each row you will see the shifts that occur that day.
